1. Who Is Responsible for Your Data

MYM ENGINES ("we", "us"), established at Industrieweg 1, Netherlands, Netherlands, and operating www.mymengines.eu, is the data controller for the personal data described here. We process personal data under the EU General Data Protection Regulation (GDPR) and the national data-protection law of Netherlands. 2. What We Collect

• Contact details: name, company name, email address, phone or WhatsApp number, delivery and invoice address.
• Business details: intra-EU VAT number and company registration number, where you buy as a business.
• Vehicle details: truck make and model, engine or reference number, chassis (VIN) number — used to confirm that an engine fits your vehicle.
• Order and warranty records: quotes, invoices, freight documents, core returns, installation invoices and service receipts submitted with a warranty claim.
• Payment data: handled by our bank and payment providers. We see that a payment was made and the reference; we do not store full card numbers.
• Correspondence: emails, enquiry-form submissions, WhatsApp messages and notes from calls with the engine desk.
• Technical data: IP address, browser and device type, pages viewed and cookie identifiers.

3. Why We Use It, and Our Legal Basis

• To answer enquiries and quote engines — necessary to take steps at your request before entering a contract.
• To confirm fitment from your chassis number — performance of the contract, and our legitimate interest in not shipping the wrong engine.
• To process orders, freight, core returns and warranty claims — performance of the contract.
• To issue invoices and keep tax and VAT records — compliance with a legal obligation.
• To send stock alerts and marketing — your consent, which you can withdraw at any time.
• To improve the site and prevent fraud — our legitimate interests, balanced against your rights.

4. Who We Share It With

We do not sell personal data. We share it only where it is needed:

• Freight and pallet carriers — name, address and phone number, so an engine can be delivered or a core collected.
• Payment providers and our bank — to take and reconcile payment.
• Our accountant and tax authorities — invoices and VAT records, as the law requires.
• IT service providers — website hosting, email, form handling and analytics, acting as processors under written agreements.
• Authorities — where we are legally required to disclose, or to establish or defend legal claims.

Most of our processors are in the EU or EEA. Where a provider processes data outside the EEA, we rely on an adequacy decision or on the European Commission's standard contractual clauses.

5. How Long We Keep It

• Enquiries that do not lead to a sale: up to 24 months, then deleted.
• Invoices, VAT records and freight documents: for the statutory accounting-retention period in Netherlands (commonly 7 years, 10 years for property-related records).
• Warranty and core-return records: for the length of the warranty plus the period in which a claim could still be brought.
• Marketing consents: until you unsubscribe, plus a suppression record so we do not contact you again by mistake.

6. Security

The site is served over TLS, payment data is handled by our providers rather than stored by us, and access to customer records is limited to the staff who need it. No system is perfectly secure, but if a breach ever put your rights at risk we would notify the supervisory authority within 72 hours and tell you where the GDPR requires it.

7. Your Rights Under the GDPR

You have the right to:

• Access the personal data we hold about you and receive a copy
• Have inaccurate data corrected
• Have your data erased, where we have no continuing legal reason to keep it
• Restrict or object to processing, including profiling based on our legitimate interests
• Receive your data in a portable, machine-readable format
• Withdraw consent at any time, without affecting processing already carried out
• Lodge a complaint with the data-protection supervisory authority in Netherlands or in the EU country where you live

8. Cookies

Essential cookies keep the site working and cannot be switched off. Analytics and any marketing cookies are only set with your consent, which you can give or withdraw through the cookie banner or your browser settings. Withdrawing consent does not affect the essential cookies the site needs to function.
